Minutes of PNW ASI Chapter Board Meeting
Richland, WA
August 6, 2000 7:30 AM

Attending: Sherry Smith, Barbara Kempf, Drew Proctor, Kristin Manke, Anne West, Martha Osgood

1. Evaluations from the 8/5/00 Richland workshop. Sherry Smith collated the information gathered on the Meeting Evaluation form submitted by attendees of the august 5th workshop.

Most workshop attendees agreed that registration was easy, that the marketing topic was either good or excellent, that the roundtable topics were good, the location and meeting space fine. The aspects of the meeting reported as being favored were the opportunities for networking and meeting other indexers, and the speaker (Carol Roberts presenting "Marketing for the Shy"). Suggestions for improvements included more peer review time, more hands on indexing information, business topics, resumes,software. Most who answered liked the all-day format. The price break to encourage preregistration was an excellent idea. The Survey questions and numbers will be included in the archives and are available on request.

2. Workshop Registration fees for non-members. It was agreed that registration fees for members will be $20 less for than for nonmembers People who are members of the Canadian indexing society will be considered members of ASI for regional workshop registration purposes.

3. Web Page. We could use the Officer Coordination page to better advantage, especially for maintaining institutional memory and for letting new officers and members see how meetings and issues were handled the past. Forms can be kept there, as well as what we've learned to do well. The Officer Coordination Pages will be linked to the main chapter web pages in the hopes that people will take the opportunity to see what officers do and eventually consider serving on the Board themselves.

4. Database. Creating a schedule for chapter membership updates and labelmaking for keeping the regional database up to date would be useful. Martha Osgood will get permissions to ASI for Helen Passey to be able to ask for updates as needed, and Helen Passey will plan to send the updated files as actual snailmailed labels both to Betty Frizzell in order to help streamline the newsletter mailing process and to Barbara Kempf for program announcement mailings.

5. Pro Bono Program - Both standards and screening processes will be needed if we are to coordinate newer indexers with pro-bono indexing projects for non-profits. Sherry Smith has already made contact with one organization. Sherry will organize a committee to develop the standards and screening processes idea more fully.

6. Corporate Sponsorship of Meetings - Barbara Kempf will talk with Zoe Holbrooks about developing the corporate sponsorship idea further.

7. Officer Transition Checklist - tabled. This topic may be partially addressed by item #3 (the Officers web page) and item #7 (the Officer Support Loop).

8. Officer Support Loop. This remains a good idea. The goals are to broaden the information that goes into the decision-making process, to help to let members know what the officers do, to prepare members who are familiar with the organizational issues to move into more formal positions, to share the workload. The methods are to encourage members to be in the officer communications loop in email discussions between meetings, and to attend the board meetings at the regional workshops.

9. Upcoming Portland Meeting October 2000.

The topic of "How I Write Good Indexes" with the audience as the panel members was chosen for the October 2000 meeting in Portland, Oregon. Future topics will include editing and polishing and index, the business side of indexing, and resume writing.

The Peer Review idea, being an important source of feedback, will expanded by popular request. For the Portland meeting, we will hold a peer review opportunity at the end of the meeting as usual, but also offer an earlier opportunity at 7:30 AM (breakfast at 7:00) prior to, and at a location near (or at), the main meeting.

A Pre-Workshop Dinner on Friday evening for indexers who travel from out of town will be scheduled. Drew has agreed to contact pre-registrants and personally invite them to the early and/or later Peer Review, to the email Officer Support Loop, to the Board Meeting, and to the Friday and Saturday dinners.

10. NorthWest Book Fest, Seattle, October 21-22, 2000. We will ask ASI to pay for a booth at this Seattle book conference. Our branch costs will be to update and reprint regional Directories. The format is already in place, but this time we will avoid selling indexer ads and just charge $20 for a member's listing in the Directory. Martha Osgood will handle the PR and indexer submissions, Barbara Kempf will coordinate the staffing and shifts at the Bookfest and Kristin Manke will input and print the updated Directory for both the book Fest and for mailings to at least the large group of Pacific Northwest publishers who received the original Directory two years ago.

11. The meeting adjourned at 9:30 AM.
