Minutes of PNW ASI Board Meeting
Sunday morning 10/8/00
in Portland, Oregon

Attending: Sherry Smith, Barbara Kempf, Anne West, Cher Paul, Drew Proctor, Martha Osgood

  1. Workshop Evaluations - Suggestions included:
    • signage needed help
    • too much sugary stuff
    • actual map (including of inside of building) would have been helpful.
    Praise was almost unanimous for the peer reviews and for the discussion on process of indexing.
  2. Program ideas generated from the workshop and evaluations -
    • More marketing
    • Peer review split for new and older indexers
    • Web CD Ebook Online presenter(s)
    • Usability studies, bad examples and why

  3. Chapter Effectiveness - Three workshops a year in three sections of the region will be continued as long as there are local volunteers to do the work and attendees to cover the costs. It was pointed out that 1/4 to 1/3 of the number of chapter members attending one meeting per year is a phenomenal response. We will encourage volunteers to sign up at the workshops and to get that list to the regional people to ask directly for help.

  4. Pro-Bono Program - The idea is to match qualified new indexers with non-profit agencies who need an index and have limited funds for such a project. The indexing work would be considered a volunteer work opportunity, not a training class or mentoring relationship. The indexer benefits by having a real index for their portfolio, the agency receives a professionally produced index, the PNW/ASI reviewer receives community service recognition, and the Chapter becomes better known in the region.

    A committee needs to be formed to set the guidelines, process and standards for the program. Applicants must have the following to be considered for the program: training in indexing, a marketing plan that is in place and being used, and sample indexes. Evaluation criteria for both agencies and for index interns would need to be created. A structured method of contacting other agencies, as well as a list of other possible agencies to contact, would be useful for future Boards as the instigators of this plan leave the Board. Target date for completion of the committee's work is January 2001.

  5. BookFest Trade Show - The notion that taking a shift at regional trade shows is a benefit both to the Chapter and the indexer is one we wish to encourage. More members might participate in the BookFest if we could offer Indexer Inns to out-of-towners. Direct requests for people to fill shifts at the tradeshow work better than general, generic requests. ASI may be a resource because ASI itself also benefits. Handouts, brochures, banner, guidelines, etc would be useful.

  6. Officer Advisory Loop - We confirmed the decision to encourage attendance and therefore advice at the Board Meetings by offering a free breakfast to all who attend. We will also invite participants in the Officer Advisory Loop via the PNW indexers list.
