Minutes of PNW/ASI Board Meeting
May 6, 2001
at Stella's, Seattle, Washington
Attending: Sherry Smith, Barbara Kempf, Robin Hilp, Kristin Manke,
Kathy Duffy, Glenn Murray, Cher Paul, Annette Young, Martha Osgood.
1. Conference Evaluation - overall this conference
was perceived as a very positive experience. Suggestions included that
a better map might have been useful. Other details are in the evaluation
summary.
2. Registration form - next time this form could
offer transportation and Indexer Inn requests.
3. Treasurer's Report - Three refunds were approved.
The policy shall be refund 100% if requested by a certain cutoff date
prior to a workshop, and by 75% after the workshop, if requested after
the cutoff date and before the workshop begins.
4. Volunteers - Committee coordinators are encouraged
to contact attendees directly to gather new committee members.
5. Pro Bono Projects - Sherry Smith will continue
to work on this concept as Past President.
6. Secretary/Treasurer Split - Martha Osgood suggested
that the duties of this dual office are diverse and more time consuming
as the chapter grows. It may be useful to have two officers take the different
responsibilities. The ByLaws will be reviewed and specific changes offered
to the membership. New officer elections will be held after.
7. Email Elections - Kari Kells and Martha Osgood
will coordinate getting the web page ready for email elections while the
Bylaws are updated and offered to the membership for approval.
8. Nominating Committee - Since the office of Past
President represents continuity and a large share of the institutional
memory, the Past President will lead the Nominating Committee and the
Bylaws will be revised (and submitted for approval to the membership)
to reflect this.
9. Corporate Sponsorships - Sponsorship guidelines
will be developed with Barbara Kempf and Kristin Manke and Kathy Duffy
taking the lead. Sponsorships can help in many areas: exhibit fees at
trade shows, room rental, snack breaks, receptions, scholarships. It was
suggested to contact the marketing committee to see if any of these members
were interested in this project.
10. Future Workshops -
- August 2001 in Richland - we will look into business-oriented topics
and knowledge management.
- October 2001 in Eugene - we will feature two workshops: Cookbook Indexing,
and Moonlighting for Beginners by Carolyn Weaver.
- Other workshop topics to explore include a Business of Indexing panel
with formal document sharing, a panel focusing on indexing nightmares,
and perhaps a marketing panel with cold calls and cover letters, more
of the business end of freelancing, portfolios, how to charge, the differences
between contractor / employee / vendor status, and specific answers
to "How would you bid for THIS?"
11. Copyright issues - There was brief discussion
about copyright issues when the BOB index is transferred from one venue
to another or when an index is meant for multiple formats (for example,
a BOB index, plus CD version, plus online version). Is an index a work
for hire, and what does that mean when it is adjusted/changed (without
compensating the indexer for the increased value of the index)? It would
take some real research on the history of this problem before a possible
proposal could be suggested to ASI.
