Minutes of the PNW/ASI Chapter Board Meeting

1. Minutes of the previous meeting were approved as written.
2. Evaluation Summary from the 9/29/01 Eugene workshop. Of 44 attendees,
32 wrote evaluations. Comments indicating areas needing improvement
were minor: the noise/music from the nearby banquet was disturbing,
the 7:30 AM start time was too early for a Peer Review. A few people
found it difficult to concentrate all afternoon for the second (four
hour) workshop, but they did appreciate the interactive exercise toward
the end of that workshop. The other interactive exercise that was praised
was the Peer Review which was also praised, first thing in the morning,
for helping people to informally get to know each other right away;
that interaction continued all day. Attendees appeared to be about one-third
brand new, one-third inexperienced but having taken or taking an indexing
course, and one-third with at least one paid index under their belt.
The costs were $65 early bird and $85 regular for members, and $85 early bird and $105 regular for non-members. All but one agreed that the cost-value ratio was fine, especially considering that we offered two workshops (Indexing by Moonlight by Carolyn Weaver, including in-depth discussions about business ethics, and a four hour workshop on Cookbook Indexing by Thérèse Shere), a one hour peer review, breakfast and two snacks with cookies, fruit, bagels, cream cheese, sweet rolls, juice, coffee tea, decaf, lunch with dessert, and dinner with seven courses.
Although the evaluation form was available in the packet all day long,
it was suggested that it be mentioned several times during the day so
folks could make comments on it during the day.
3. Elections - the chapter members who have agreed to be officers during
the next seasons were introduced:
President - Kristin Manke
Vice President/President Elect - Robin Hilp
Secretary - Debra Spidal
Treasurer - Nancy Donnelly
Past President - Barbara Kempf
The formal election process will be set in motion in the next few weeks
to ratify the slate.
4. Programs - It was decided to focus on two one-and-a-half day conferences
in 2002 rather than three one-day conferences. This means some kind
of rotation will have to be set in place.
Barbara Kempf reports that for the Spring meeting in Seattle, she and
Caro Crawford (the current student ASIS-T president at UW) are working
on rooms and a program at the UW Library School in Seattle. The dates
being considered are early April 2002. The topics we're looking at include
a panel in the morning to discuss controlled vocabularies, thesaurus
design, and knowledge management in general; this will show the similarity
of the work and struggles that librarians and indexers face. In the
afternoon a talk or panel on web indexing, and a further half-day Friday
or Sunday session on other topics of interest to either beginners or
intermediate indexers.
5. Student Fees. It was decided that there would be no discounts for
PNW workshops for students for several reasons, including:
* We already set the pricing of the workshops low in order to give
the best value possible for members, students or otherwise
* ASI already offers an introductory membership which students can
take advantage of, and follow up by using the early bird, membership
rate for regional workshops
* An entry level seminar separate from the workshops can be discussed,
but newcomers already have the advantages of local peer reviews, novice
notes, and the chapter's good will on the listserv.
6. PDF web Newsletters - It was decided to place chapter newsletters
onto the web site when they are over one year old. Newer newsletters
will be kept by the Secretary and mailed out by request to those who
send $3. One copy of every newsletter is to be sent to Elspeth Pope
for the archives.
7. Sponsorship Project - ASIS-T (American Society for Information Science
and Technology) is offering us free space at the Information School,
Mary Gates Hall, University of Washington. Advertising in exchange for
sponsoring a snack table or dinner is encouraged, but advertising in
the newsletter is discouraged due to logistics.
8. Established Indexer fade-out - There is a need to address what the
chapter can do for established indexers. Sherry Smith, Melody Englund,
and Drew Proctor will create a survey instrument with which to phone
established indexers who do not often participate in chapter workshops.
The purpose is to find out what the chapter can be doing, if anything,
to serve their needs. Julie Kawabata, one of the founding members, praised
the increased size and scope of the chapter since she served on the
board.
